Any task that is frequent, rule-based and moves information between systems is a strong candidate. Common examples are lead routing, CRM updates, invoice and document generation, onboarding checklists, report building and follow-up emails. Tasks that rely on judgement can often be partly automated, with AI preparing a draft and a person approving it before anything is sent.
Zapier is easiest to start with, Make handles complex branching more visually, and n8n suits teams wanting self-hosting and high volumes. The right choice depends on the apps you use, how many tasks run each month, who will maintain the workflows and where your data must be stored. For edge cases none of them handle well, we write custom code.
AI adds a step that can read and interpret unstructured information inside an automated workflow. It can classify incoming enquiries, pull details out of emails and PDFs, summarise documents or draft responses for someone to review. Combining fixed rules with AI lets workflows handle tasks that previously needed a person to read every message.
A well-built workflow alerts you straight away instead of failing silently. Breaks usually happen when a connected app changes its API or receives unexpected data, so we build in error handling, retries and notifications. Clear documentation means anyone on your team, or ours, can find the cause and fix it quickly.
Usually not, for workflows built in Zapier or Make. With documentation and a handover session, a trained team member can adjust triggers, fields and messages themselves. Custom-coded integrations may need a developer for larger changes, and we can provide that support on an ongoing basis or hand it over to your own technical team.
