Most businesses are best served by HubSpot or Salesforce, because both are mature, well supported and integrate with most tools. A custom build makes sense when your processes are highly specialised, per-user licences become inefficient as you grow, or you need full control over data and features. We recommend an option after mapping your requirements, not before.
Running costs depend on hosting, user numbers, data volume and how much ongoing development you want, rather than per-seat licences. Other factors include paid third-party services such as telephony or email sending, backups, security monitoring and support hours. We set these out before the build starts, so you can compare them fairly with the licence fees of an off-the-shelf platform.
A HubSpot or Salesforce rollout for a small or mid-sized team typically takes 4 to 10 weeks, including data migration and training. Custom builds usually take three to six months. Timelines grow with the number of integrations, the volume and condition of legacy data, and how many teams and processes need configuring.
We export, clean and map your existing data before importing it into the new system. That includes contacts, companies, deals, activities and notes, with duplicates merged and fields standardised. A test migration is checked with your team first, so the history you rely on arrives intact and nothing goes live until it has been verified.
Most fail because people stop using the system, not because of the technology. Common causes are setups designed without input from the people who use them, too many required fields and messy migrated data. We design around real workflows, keep data entry light and train each role on the tasks they do every day, which gives the system a far better chance of sticking.
